Building a Custom VAT Exemption Checkout Solution in WooCommerce
When this client came to us, they had a very specific ecommerce challenge that was affecting both compliance and customer experience.
They sell wheelchair products online, and because many of these items are intended for disabled users, eligible customers may be able to purchase them with VAT exemption.
The difficulty was that their website was built in WordPress and WooCommerce, and this type of functionality was not available as a standard out-of-the-box feature.
The complexity did not stop there. The website was also running on a third-party theme that we had not originally developed, which meant the client had no clear starting point for introducing this functionality without risking disruption to the wider basket and checkout process.
This was not simply a case of adding a checkbox.
The client needed a system that allowed customers to choose whether VAT exemption applied to their order during the basket or checkout journey. If the exemption was selected, the user also needed to provide specific supporting information for the company’s records. That information then had to be saved against the WooCommerce order and remain easily accessible for the admin team, particularly for use during quarterly VAT submissions.
In short, the requirement had to work on multiple levels. It needed to be intuitive for the customer, reliable within the checkout process, and structured enough behind the scenes to support the business’s compliance and record-keeping needs.
Our first step was to interrogate the existing theme and properly understand how it interacted with the basket and checkout flow.
Once we had mapped the right point of intervention, we designed a custom solution that worked with WooCommerce rather than forcing an unstable workaround into the theme itself. We built a lightweight bespoke plugin that sits neatly within the WooCommerce setup, giving the client the flexibility they needed without creating unnecessary dependency on the inherited theme.
The plugin introduced the VAT exemption functionality directly into the purchase journey and also gave the site administrator the ability to enable or disable the feature as needed.
Crucially, the solution included the additional logic required for compliance. If a customer selected VAT exemption, they were then required to enter the relevant personal and supporting information before the order could be completed. That data was stored and logged against the WooCommerce order, making it straightforward for the admin team to retrieve later for reporting and VAT submission purposes.
By approaching the challenge this way, we created a solution that was both technically robust and operationally useful.
The final result was a tailored checkout enhancement that met the needs of the customer, the admin team, and the wider business all at once.
Delivered in time for launch, the updated website went live with the new VAT exemption functionality fully integrated into the basket and checkout process. Customers could now complete eligible purchases smoothly using the exemption route, while the business gained a practical and dependable way to capture and retain the supporting information required for its records.
What began as a niche WooCommerce problem became a strong example of how thoughtful technical problem-solving can deliver far more than a simple functional fix. By taking the time to understand the structure properly and build around it in the right way, we were able to provide a clean, robust solution that fitted both the website and the business perfectly.
