
SonaPay had historically relied on a spreadsheet to manage key pricing metrics, competitor data, and service variables used when generating quotes for prospective clients. While this document had evolved over a number of years and served as a central reference point for the team, spreadsheets naturally introduce limitations when they become the backbone of a business process. As usage grew, it became increasingly difficult to maintain consistency, control access, and prevent accidental edits. Version management, collaboration, and data security also became concerns, particularly as sensitive commercial information and customer data were being referenced within the workflow.
To address these challenges, we worked with the SonaPay team to design and develop a custom quoting platform built using React and PHP. React is a modern JavaScript framework widely used for building responsive web applications. It allows complex interfaces to update instantly in the browser without requiring full page reloads, creating a faster and more intuitive experience for users. Combined with a PHP backend to manage data, permissions, and processing logic, this approach allowed us to transform what had previously been a static spreadsheet into a secure, scalable application.
Before development began, we worked closely with SonaPay through a series of discovery sessions and workshops to fully understand how the quoting process worked in practice. These sessions allowed us to map the complete user journey — from entering client details and selecting pricing structures, through to internal review and final quote generation. By collaborating directly with the team who used the system every day, we were able to identify inefficiencies, simplify steps in the workflow, and design a platform that aligned with their real operational needs.

A strong focus was placed on user experience (UX) throughout the project. We mapped out the information architecture and designed a dashboard-based interface that guides users through the quoting process step by step, reducing errors and improving speed. The platform includes multiple user levels, allowing different roles within the organisation to create, review, and approve quotes while maintaining clear control over data access and changes. This structure also supports better compliance and auditability, helping ensure the system aligns with GDPR and internal data governance practices by restricting access to sensitive information and providing a clearer record of activity.
The final platform not only improves internal efficiency but also elevates the presentation of the quotes themselves. Once a quote is completed and approved, the system automatically generates a professionally designed PDF document, ensuring that every proposal sent to potential clients is consistent, accurate, and aligned with SonaPay’s brand.
By moving from a spreadsheet-based workflow to a purpose-built application, SonaPay now benefits from a more secure, scalable, and user-friendly quoting system that supports both their internal team and their growing network of agents.

To ensure fast and reliable performance for users across North America, the platform is hosted on a bespoke cloud server infrastructure based in the United States. By locating the hosting environment close to SonaPay’s primary market, we were able to optimise response times and provide a smoother experience for staff and agents accessing the system throughout the day.
Rather than relying on shared hosting, the platform runs on a dedicated cloud environment configured specifically for the application. This allows greater control over performance, security, and scalability as usage grows. The infrastructure has been designed to support secure data handling, regular backups, and consistent uptime, ensuring the quoting system remains responsive and dependable for the SonaPay team.
