Creating a Connected Investor Login Portal that Reduced Admin Time & Improved Client Self-Service

For this project, our client commissioned us to build a secure web interface login portal where their investors could use a login portal and view details of their investment portfolio. But while the brief began with investor access, the wider business challenge ran much deeper.

The client operates in a high-value property investment space, offering opportunities tied to prime London properties in prestigious locations. Investor funds are used to acquire properties, renovate them, and then either hold them or return them to market for sale at a significantly increased value. Returns are then paid either quarterly or at the end of the investment term.

The model was commercially strong, but operationally it created a growing administrative burden.

The business worked with a global network of agents who introduced high-net-worth investors and received commission in return. Those agents needed regular updates, including revised pricing, growth figures, and monthly statements relating to their clients. At the same time, investors needed visibility over their holdings, while the internal admin team needed to keep performance data, percentage rises, and annual growth figures accurate and up to date.

Before the login portal existed, much of this process was manual.

The admin team were spending a huge amount of time updating records, working out figures, preparing statements, and making sure the right information reached the right people. It was labour-intensive, repetitive, and left too much room for inefficiency. The challenge was not only to create a better experience for investors and agents, but to significantly reduce the time and effort required behind the scenes.

There was also another requirement within the build: users needed the ability to create a new deal within one of the client’s currently offered investment products. That meant the system had to go beyond reporting and become an active business tool.

We designed and developed a bespoke investor and agent web interface (the login portal) that gave the client a much more streamlined, scalable way of managing this part of their business.

At its core, the platform allows clients to log in and review their investment portfolio through a clean digital interface. It also enables the creation of new deals within currently available investments, giving users a more direct and efficient route into the next stage of engagement.

But the real value of the system came from the way it supported the wider operational model.

The portal was designed not only for investors, but also as a central notification and update hub for the client’s network of agents. Through the interface, agents can receive updates, review relevant information, and submit new clients into the system. This turned what had previously been a fragmented and admin-heavy process into a much more structured and self-service environment.

To reduce internal workload, we introduced automated calculations throughout the agent area. This meant the admin team no longer had to manually work out returns, percentage rises, or growth figures. Quarterly and annual statements could now be generated automatically from within the system, removing the need for manual calculation and dramatically speeding up reporting.

We also connected the web interface directly to the client’s CRM, HubSpot, using its open API. This integration allowed both systems to stay aligned, creating a single source of truth for the data while making it available in both the CRM and the investor portal. That was a critical part of the build, because it ensured consistency across sales, servicing, reporting, and client communications.

The finished result was more than a client login portal. It became a connected operational platform that improved visibility, reduced manual administration, and gave both investors and agents a more useful and modern experience.

For investors, it created a clearer and more convenient way to monitor their portfolio and engage with new opportunities. For agents, it provided a centralised place to receive updates, manage information, and introduce new clients.

For the admin team, it removed a major amount of repetitive work. Automated calculations and statement generation meant less time spent checking figures manually and more confidence in the accuracy and consistency of reporting.

The CRM integration also ensured the business was no longer managing disconnected systems or duplicated records. With HubSpot and the portal working together, the client gained a cleaner, more efficient process built around one reliable set of data.

And commercially, the login portal platform created an additional advantage: because clients could now self-administer certain new investments, the business reduced its reliance on agent-led introductions in some cases, which in turn meant less commission being paid out.

This project is a strong example of how the right digital platform (the login portal) can do more than improve user experience. It can simplify operations, connect systems, reduce overhead, and create long-term commercial efficiencies all at the same time.
